Teletom Web Panel: Managing Your Mail Server (Part 2)
A detailed look at managing uploaded content, file operations, and the backup system.
In Part 1, we covered basic administration. We also mentioned the mechanism for transferring large files: they are automatically uploaded to the cloud storage on your server, and links are attached to the email. Consequently, an array of data (content) is formed on the server, which needs to be managed: viewed, archived, or deleted.
Managing Uploaded Content
The panel features a dedicated "Content" section. It is equipped with filters, search, file preview capabilities, and a function to mark files for deletion.
⚠️ Understanding the permanent deletion process:
To permanently delete marked content, you must navigate to Settings → Content and click the "Delete Permanently" button.
This button does more than just erase files. It initiates a deep synchronization process, matching actual files in the file system with records in the database. The system is brought to full consistency: "orphaned" files with no database links are deleted, and conversely, database links pointing to non-existent files are cleared.
Where do inconsistencies come from? For example, if a user closes their browser midway through uploading a large file. In such cases, "leftover data" remains either in the database or the file system. The "Delete Permanently" button cleans up exactly these leftovers. Please note: if there is a large amount of content, the synchronization process may take some time.
Creating, Uploading, and Restoring Backups
The Teletom panel allows you to create and restore backups. Teletom's philosophy here is maximum simplicity, and most importantly, complete understanding and logical consistency of the user's actions.
Backups are created as standard archive files. This allows you to organize your own registries for tracking backups with descriptions, dates, and other reference information.
What Does a Backup Consist Of?
⚙️
1. System Settings
Archives absolutely all configurations: domains, DKIM keys, aliases, addresses, and the mail client database.
✉️
2. Email Messages
An archive of the actual email correspondence (email bodies and attachments stored within the mailboxes).
📦
3. Content
The very files that were uploaded to the cloud when sending large attachments via the mail client.
❗ Pay attention to the restore logic:
• System Settings always reflect the current state. During restoration, all existing settings are completely deleted and recreated from the archive.
• Email Messages and Content can be archived and restored for specific dates. During restoration, only data for the selected date range will be deleted, followed by the writing of new data taken from the backup.
Why Use SFTP for Backups?
It is well known that storing backups on the same server where the primary data resides is not the best idea. Backups are made precisely for cases of hardware or disk failure.
🔒 SFTP: Reliability and Control
Given that the "Content" section can occupy tens or hundreds of gigabytes, the developers organized the backup upload and download system not directly through the browser's web interface, but via the SFTP protocol.
SFTP is not an added complexity, but an expansion of capabilities. The protocol provides greater control over manipulations with large files:
- Support for multi-threaded uploading and downloading
- Ability to resume interrupted transfers
- Use of proven, free clients (e.g., FileZilla or WinSCP)
- Ability to upload archives not only to a local computer but directly to another backup server
Upon system handover, the Teletom engineer will provide you with full credentials for secure access to the archive directories via SFTP.
The Backup Upload and Restore Process
To restore data from a backup, follow these steps:
- Upload: Upload the required archive file to a special directory on the server using any SFTP client.
- Synchronization: Go to the control panel: Settings → My Archives and click the "Scan for Archives" button. The system will scan the directory, and a list of uploaded files will appear.
- Restore: In the same section, go "deep" into the desired archive, select the components to restore (settings, messages by date, content by date), and start the process.
Helpful Backup Tips
📝
Keep Your Own Registry
Create a simple table (Excel/Notion) where you record the date, backup type, and a brief description. This will save hours of searching in an emergency.
💾
Monitor Disk Space
Don't wait for it to fill up! Creating a backup requires roughly as much free space as the data itself occupies. Monitor your quotas.
🔄
Back Up Regularly
The more regular the backups, the smaller their volume (if an incremental approach is used), and the faster they are to upload, download, and restore.
Conclusion: If you follow these simple recommendations carefully, the Teletom backup mechanism will reliably protect your data from any failures, human errors, or hardware issues.
